Creating an event series
Getting Started
After creating experiences, you can create a series of recurring events.
- In the menu on the left, select "Experiences", indicated by the calendar icon.
- This will display an overview of all your experiences.
- Click on the experience you would like to add events to.
- Select "Add Your First Events" to begin.
General Information
- Type in an internal name for your event.
Channels & Visibility
Choose where you want your event to be visible. Hover over each option for more details about its visibility settings.
Event Images
Click "Add Primary Event Image" to upload a main image for your event.
Event Information
- Availability & Sales Cut-Off:
- Enter the maximum number of bookings available for the event.
- Specify the cut-off time for ticket sales (e.g., how long before the event starts ticket sales should close).
- Event Description & Itinerary:
- Write a detailed description of your event.
- Include an itinerary or schedule of activities if applicable.
Sales Units
- Click "Add Unit". A pop-up window will appear.
- Create or Select a Sales Unit:
- Select an existing sales unit from the drop-down menu in the Sales Unit field, or create a new one.
- If creating a new unit:
- Enter the number of resources (e.g., tickets, items).
- Set the price for the sales unit.
- Limit Availability (Optional):
- Check the box beneath the price field to set a limit on the number of slots per booking.
- Specify the maximum number of slots allowed.
- Click "Add Sales Unit" to finalize. You can repeat this process to add additional sales units.
Resources / Assets
- Click "Add Resource/Asset". A pop-up window will appear.
- Click "Create New Asset Category".
- Enter a name for the category.
- (Optional) Add an icon by clicking "Add Icon".
- Enter the name of the asset.
- Example: microphones, venues, or other equipment needed for the event.
Staff
- Click "+ Add Staff". A pop-up window will appear.
- Select staff members from the pre-existing list to assign them to the event.
- Click "OK" to confirm.
Cancellation Policy
Define your event’s cancellation terms:
- Specify how many hours before the event bookings can be canceled.
- Indicate the percentage of the booking cost that will be withheld in case of cancellation.
Scheduling
Choose your event type and schedule details:
- Single Event:
- Select this option if the event occurs only once.
- Enter the event’s date, start time, and end time.
- Custom Schedule:
- Click "Generate a Schedule".
- Provide the following details:
- Start and End Times: When the event day begins and ends.
- Duration of Timeslots: Length of each session or activity (in minutes or hours).
- Interval Between Timeslots: Time between consecutive slots.
- Buffer Time: Additional time between slots (if needed).
- (Optional) Click "Add Block Time" to exclude specific times.
- Click "Generate Schedule" to create the schedule.
- Once generated, use the calendar view at the bottom of the page to make adjustments:
- Remove a full day’s slots by clicking the X in the day’s corner.
- Remove specific slots by clicking the X next to the time.
- Add slots by clicking "Add Time" at the bottom of the day.
- When you’re done, click "Save Event" to finalize.
